Congratulations on being appointed as a member of the Boards of Study/Speciality Board in the PGIM. By being a member, you will be able to contribute to the training programmes managed by the Board and also for the upliftment of the speciality in Sri Lanka. Your contribution will have a significant impact on the healthcare services of Sri Lanka as the Board/Sp. Board is entrusted with the task of training medical doctors and specialists who play a critical role in patient care and health system management.

Before assuming your role as a Board/Speciality Board member at the Postgraduate Institute of Medicine (PGIM), University of Colombo, you are required to complete several onboarding activities. If you have not already completed these activities, kindly take necessary action to complete the same urgently.

Additionally, you are expected to familiarize yourself with key documents and web pages related to governance, academic, examination, and library activities at PGIM. This welcome pack provides a curated list of essential references. However, please note that this is not an exhaustive list; you may need to refer to additional documents as part of your responsibilities. These documents are periodically updated, so regular review will be necessary as you engage in Board discussions. All relevant documents and updates are available on the PGIM website.

Curated list of documents

There are several pertinent documents related to governance of postgraduate programmes at the PGIM. These documents provide the framework for decisions made in the Board of Study/Sp. Board. 

 

1.Universities Act (More Details)

The foundational legal framework outlining the establishment, structure, and governance of universities in Sri Lanka. As PGIM is part of the University of Colombo, it is also governed via the Universities Act and rules and regulations imparted by the University Grants Commission will therefore be applicable to the PGIM as well.

 

2.University Establishment Code (More Details)

The Establishments Code of the University Grants Commission and the Higher Educational Institutions/ Institutes’ is such a publication which codifies administrative directions and rules issued by the UGC from time to time in terms of Section 137 of the Universities Act.

 

3.PGIM Ordinance (More Details)

The PGIM Ordinance provides the legal foundation for the establishment of the PGIM including the creation and appointment of members to Boards/Speciality Boards.

 

4.By-Laws (More Details)

Regulations adopted by the PGIM governing its internal affairs, including administrative and academic matters are included in the by-laws. The General regulations and Guidelines of the PGIM are aligned with the relevant by-laws, which may also be updated on a regular basis.

 

4.General Regulations (More Details)

Comprehensive guidelines covering various aspects of PGIM’s operations, including trainee admissions, training programs, and examinations are included in the General Regulations and Guidelines. These are two sets of guidelines, one for trainees and one for trainers. When making decisions within the Board/Sp. Board, please refer to the General Regulations and Guidelines if the relevant prospectus does not provide or insufficient in terms of the guidance provided.

 

5.Code of Conduct (More Details)

A set of ethical guidelines and standards expected from all members associated with the PGIM. Board members are also expected to adhere to the Code of Conduct.

 

6.Assistance for Disabled (More Details)

Guidelines and provisions ensuring support and accessibility for differently-abled trainees are described in this document. Trainees needing assistance are encouraged to make requests well in advance for the Boards to prepare.

1.Prospectuses

All training programmes at the PGIM are governed by a relevant prospectus approved by the Board of Management, Senate and the Council of the University of Colombo and the University Grants Commission. It provides the first level guidance in running the programme and all decisions by the Board/Sp. Board must be aligned with the relevant prospectus. Prospectuses are amended or revised at regular intervals and all changes must obtain approval from the Academic Affairs, Accreditation and Examinations Committee (AAAEC) of the PGIM, which recommends the changes to the Board of Management for approval. Amendments and revisions would require a considerable time for processing and approvals and hence Boards/Sp. Boards must plan ahead for implementing such changes.

 

2.Curriculum Development Tools (More Details)

PGIM has developed templates to assist you in developing curricula and these are available for download through the PGIM website.  

 

3.Workshops Schedule (More Details)

The PGIM publishes the workshop schedule for trainers and examiners at the beginning of the year and Boards/Sp. Boards may also schedule relevant workshops as the need arises.

1.Examination Calendar (More Details)

A detailed schedule of all examinations planned for the year, including application deadlines and examination dates are published at the beginning of the year.

 

2.Examination Circulars (More Details)

Official communications providing important information regarding upcoming examinations including the intake is provided through the examination circular. The Board will prepare the circular in accordance with the relevant prospectus with assistance from the examinations department prior to calling for applications.

1.Eligibility for Membership

Trainers of the Postgraduate Institute of Medicine (PGIM) are eligible for complimentary library membership upon the recommendation of the respective Board of Study, PGIM. Web link

 

2.Borrowing Privileges
Trainers who hold valid PGIM Library membership are entitled to borrow reading materials free of charge.

 

3.PGIM Library website
